To ensure smooth registration processing, all delegates making Telegraphic Transfer (TT) payments must clearly indicate their unique registration ID and registered name on the payment slip. Please ensure this information is accurately provided to avoid any potential delays or complications.
Bank charges are the responsibility of the payer and should be paid in addition to the registration fees.

Delegates must provide proof of payment by attaching the payment remittance following the registration fee payment to registration@apcmv.com.

An email confirming registration will only be sent after receipt of the required fees. A copy of the bank transfer (or other proof of payment) will be required if registration fees are not credited to the account on time.

SUBSTITUTION POLICY

Registered delegates who are unable to attend may send an alternate i.e. one-for-one substitution at no extra charge. Substitution requests must be submitted in writing to the Congress Registration Secretariat before 28 February 2027.

REGISTRATION CANCELLATION POLICY

All cancellation requests must be submitted, no later than 28 February 2027 to receive a full refund. However, an administrative fee of USD 50 will be imposed.

  • Cancellation requests received after the deadline will not be entertained, and are chargeable, including No-Shows.
  • There will be No refund of any type for paid registrations, including any bank transfer fee or surcharge levied by the bank or credit card company.
  • All approved refunds will be made within two months after the Congress is held.

INSURANCE AND PUBLIC LIABILITY

Participation in the Congress is at the Participant's own risk. The Organising Committee nor the Congress Secretariat shall not be liable for any loss, injury, damage, or expense incurred by any Participant in connection with the Congress. Participants shall be responsible for their own actions and property and shall indemnify the Organising Committee, the Congress Secretariat and venue against any third-party claims arising from their conduct during the Congress.

FORCE MAJEURE

The organisers of Asia-Pacific Congress of Medical Virology (APCMV) 2027 shall not be liable for any delay, modification, postponement, or cancellation of the Congress arising from circumstances beyond their reasonable control ("Force Majeure").

Force Majeure includes, without limitation: war, terrorism, civil unrest or military action; natural disasters (including earthquakes, volcanic eruptions, and severe weather events); governmental or regulatory actions or restrictions; infectious disease outbreaks (including COVID-19, SARS, and MERS); visa refusals or delays; explosions; transport disruptions; airline insolvency; and any other event beyond the organisers' reasonable control. For the avoidance of doubt, insufficient in-person attendance rendering the Congress commercially or operationally unviable shall also constitute Force Majeure.

If the Congress cannot be held in person due to Force Majeure, the organisers reserve the right to convert the Congress to a fully virtual format or otherwise modify the format, programme, or delivery of the Congress as deemed necessary. The organisers shall use reasonable endeavours to deliver the Congress in a manner that is safe, practicable, and consistent with its objectives.

In such circumstances, all confirmed registrations shall remain valid for the revised format of the Congress.
